For example, if you improve quality you get fewer emails back looking for clarification. Here are some ways to write higher quality emails: 1. Write a better subject. Tell people what kind of mail it is by using descriptions at the front such as: action, info, request, confirmed, or delivery, as in, Delivery: Bio you requested. 2. Put the whole message in the subject line. If its short, then the person wont have to even open the email. But you need to tell someone that the message ends in the subject line, so try marking the end of the message with something like this /EOM 3. Structure the body of your message well. People are not reading whole messages. They are scanning. If its a longer email, put a quick summary up top, and if there is an action required, summarize the action up top. Also, use bullets to describe the background. This will be easier for someone to scan and it will force you to be more concise. Mike coaches individuals and workplace teams on how to use email more effectively. He has worked with people at Pfizer, Hewlet Packard, and Capital One. What struck me was that he can typically save someone ten full days a year by making them more effective with email. Some of this saved time comes from the fact that email affects everything you do, because so much of your daily diet of information comes via email. So his recommendations go beyond just the email message itself. For example, people waste a lot of time looking for information. (I do this, by the way. I had a file of links to use when I wrote about email. Where are they? I dont know. It took me ten minutes just to find this one at TechDirt.) Mike describes my problem on the nose: People have a lot of overlap in terms of the folders they use and then people cant remember where they put something. So I asked him what to do. He recommended just four categories. Which I confess makes me nervous, but I cant say that my current system of ten thousand folders is working very well Okay. Amy Cuddy, an associate professor of business administration at Harvard Business School, says even two minutes of using expansive, open gestures will prepare you for high-stress situations. Specifically, your testosterone levels will go up by 20 percent, making you more risk-tolerant, and your cortisol levels will go down by 25 percent, making you less anxious, regardless of whether youre a man or a woman. That said, you have to use the power pose judiciously. Your boss might not appreciate your approaching his desk with an obviously forced swagger, and your colleagues might be less-than-pleased with your overly intimidating aura. Use the power pose when you need to impress someone, but take a more relaxed stance otherwise. Gesture With Your Hands Conventional wisdom states hand gestures distract from the speaker. One study says otherwise. According to human behavior consultancy Science of People, TED speakers who used hand gestures garnered higher ratings from the audience compared to those who didnt. Science of People founder Vanessa Van Edwards theorized the gestures actually made the audience more engaged, since they had something to do, i.e. look at the hand movements, other than listening to a speech. What You See Is What You Do   As mentioned earlier, sincerity â€" or, at least, an appearance of sincerity â€" is important in nonverbal communication. The easiest way to show others you care is (surprise, surprise) to actually care. The not-so-easy-but-just-as-effective way is to do what empathetic people do: Mimic the gestures of the person youre dealing with. For example, if you notice Alice feels uncomfortable with people who sidle up to her, dont invade her personal space. Conversely, if Bob likes to lean in when hes talking to you, its okay to do the same to him. By mirroring the other person, youll be able to put yourself in their shoes, figure out the appropriate body language to use with them, and become more likeable in their eyes. One Last Thing Since body language operates on a subconscious level, youll have to practice a lot to use it to your advantage. Practice with a person whos willing to give you objective, constructive and honest feedback, so youll have a more accurate view of how you appear to others. Eventually, good nonverbal communication will be automatic to you, and hopefully push you one more step up the ladder of success.
